Smartservice is a foundation package which covers all your basic property management needs from voids and arrears to planned and reactive maintenance. Smartservice is clear and straightforward - there are no hidden charges and any extras are ones that you choose.
All properties are reviewed 2 months before the end of the initial fixed term with the view to increase the rent by 5% annually and secure a further fixed term AST. By completing this task two months in advance we are able to reduce void times by marketing properties whilst tenants are still in place.
Planned and reactive maintenance is carried out on a daily basis in line with the client's SLA using local contractors found through recommendations and our network of sub-agents. All contractors provide the relevant PI insurance annually and their Gas Safe Certificates. Any works over £500 are subject to a sign-off by the tenant and anything over £1000 is subject to managerial sign-off at APS.
Rent is collected on a monthly basis for all properties excluding utilities and council tax. This is then transferred to the client on a monthly basis as per their individual requirements along with a statement of accounts via an automated CSV file.
Each business partner has a dedicated voids and coordination resource within APS. Properties will be marketed to let with an approved sub-agent located close to the properties with good local knowledge of the surrounding area. The agent will market the property and complete viewings. Once a tenant has been found APS will then deal with all cash transactions, referencing and contracts to ensure the client's SLA requirements have been met. All tenants will be checked in and out of a property and have a full inventory completed by a trained assessor.
Each business partner has dedicated arrears resource to ensure that arrears are kept to a minimum level and the correct action is taken without delay. Contact is made with tenants at 7, 14 & 21 days with legal action to be instigated after 30 days of arrears. Weekly arrears reports are issued to clients detailing arrears by age and case with updates on the cases. Depending on the client's SLA, APS will attend court where necessary to regain possession of the property.
Organise and manage routine and vacant inspections across the clients’ portfolio ensuring this is completed in line with the specific SLA requirements. A full report with photos will be issued to the client and any works recommended will be quoted for.
APS ensures that all clients adhere to current compliance and legislation. This is completed by ensuring that all gas, PAT and EPC certificates for all properties are audited on a monthly basis with both an automated and a manual log being kept.
Smartservice+ is an ‘add-as-you-go’ service – you simply add service extras as you need them – it’s that easy.
In line with our business partner’s policy we will highlight any maintenance issues that could be an insurance claim and deal with the appropriate insurers and loss adjustors to get the claim progressed. Ensuring that all deadlines are met and the correct process is followed for that particular client and insurer.
We complete desk top valuations to determine if properties are suitable for disposal in line with our business partners’ SLA requirements, if the property is suitable then a local Estate Agent is selected to sell the property in line with a 30 day exchange and completion programme.
We can provide control and management of refurbishment projects including planning, control and co-ordination of projects from concept through to completion.
Our leasehold service takes away the hassle of looking after the building and the administration that goes along with it. We currently manage over 100 residential developments, which vary in size from 4 to 300 units. The scope of developments we manage within the portfolio includes residential units, social housing and commercial management - including office and retail space, in addition to car parking schemes.
Many of the developments are mixed use and include a combination of uses within one scheme.
